Frequently asked questions
Straight answers about what Pactinel does, what it costs, how the AI works and where your contracts are kept.
Getting started
What is Pactinel?
Pactinel is contract operations software for the period after signature. It keeps your signed contracts in one register, works out renewal and notice dates, turns obligations into tasks with owners, and reminds the right people before anything is missed.
Who is Pactinel for?
Companies that sign many contracts but have no contract team: operations, finance, procurement, compliance and in-house legal. It fits a company with a few dozen contracts as well as one with a few thousand.
How long does it take to start?
You can start in minutes. You open a workspace, upload your contracts or your tracking spreadsheet, and check what the AI found. There is nothing to install and no set-up project.
Can I bring the spreadsheet I use today?
Yes. Upload an Excel (XLSX) or CSV file, match its columns to Pactinel's fields and review the rows before they are created. You can attach the contract documents afterwards.
Which files can I upload?
PDF, including scanned documents, Word (DOCX and DOC), Excel (XLSX and XLS), PowerPoint, OpenDocument, RTF and Outlook messages. Every file is checked before it is stored.
Which languages does Pactinel support?
The application and this website are available in English and Turkish, with more languages on the way. The AI reads contracts in many languages, and each workspace can follow its own country's holidays and reference data.
Plans and billing
Is there a free plan?
Yes. Free covers 25 active contracts and 2 paid seats with no time limit and no card. It includes the AI, renewal dates, obligations and unlimited free users.
How does the trial work?
Every new workspace gets 14 days of Business features with no card. When the trial ends, the workspace moves to Free. Nothing is deleted; contracts above the Free limit become read-only until you upgrade or archive some.
Who needs a paid seat?
Only people who add, edit or verify contracts. Colleagues who complete tasks, approve or read join as free users, on every plan and with no limit.
What counts as an active contract?
A contract that is running or waiting to start. Archived and ended contracts do not count towards your limit and stay available.
How do I pay, and do I get invoices?
You can pay in US dollars, euros or pounds sterling. Our reseller Paddle handles payment, invoices and sales tax, and offers cards and local payment methods.
Are there discounts?
Yearly billing costs ten months' price. Non-profit organisations get 30% off. There are no other discounts.
Can I cancel at any time?
Yes, with one click in the workspace. The plan stays active until the end of the period you paid for, then the workspace moves to Free.
Features
How does Pactinel prevent unwanted automatic renewals?
It reads the term, the renewal clause and the notice period, calculates the last day to give notice, shows how it got there and asks the contract owner to decide well before that day.
Can it track obligations, not only dates?
Yes. Reports, payments, audits, insurance renewals and other duties become tasks with an owner, a due date and, where needed, evidence and approval.
Does it calculate price increases from index clauses?
Yes, on Starter and above. Pactinel reads the index formula, fetches the official figures when they are published and shows the new price with every step of the calculation.
Can I track bank guarantees and insurance certificates?
Yes. Guarantees, bonds, insurance certificates and licences are followed from receipt to return, with expiry dates, return conditions and their monthly cost.
Does Pactinel help with termination notices?
It drafts termination, non-renewal and price notices from the contract data, checks the channel and address against the notice clause and records how and when the notice was sent.
Can I see deadlines in my calendar and export reports?
Yes. Each person can subscribe to a calendar feed of their deadlines, and every report and list exports for management, finance or auditors.
Which integrations are available?
Today: email reminders, calendar feeds, webhooks on Team and above, and single sign-on with OpenID Connect on Business. E-signature and storage connections and a public API are planned; we list them as available only once they ship.
AI and accuracy
What does the AI do?
It reads each document and proposes the parties, dates, amounts, renewal terms and obligations. Every value links to the sentence it came from, so a person can check it in seconds.
How accurate is the AI, and who checks it?
No AI is right every time, so nothing it proposes is final until a person verifies it. We measure extraction quality on a fixed set of real-world contracts before every release and do not ship a change that lowers it.
Is my data used to train AI models?
No. Your contracts are never used to train models, ours or the provider's, and the provider we use for customer documents does not keep them after processing.
Which AI provider processes my contracts?
A provider bound by a zero data retention agreement. We name it on our subprocessors page before it processes any customer document, and we announce any change in advance.
What is an AI page?
One page of a document that the AI reads. Free includes 250 pages for your first import and 100 pages a month after that; paid plans include more.
Security and privacy
Where is my data stored?
In the European Union, on servers in Germany. Data is encrypted in transit and at rest.
How are accounts protected?
With two-factor sign-in, roles and permissions, and an audit log that records who did what and when. Every plan, including Free, has the same security.
Can I limit who sees a contract?
Yes. Roles decide what each person can do, confidential contracts and financial figures are visible only to people with that right, and auditors can get read-only access for a limited time.
Is Pactinel suitable under GDPR and KVKK?
We act as your processor under a data processing agreement, keep data in the EU and list every subprocessor. Whether your use is lawful depends on how you use it, so we describe our part rather than promise compliance.
Can I take my data with me?
Yes. You can export all contracts, fields and files at any time, on every plan. If you cancel, the workspace stays on Free, so nothing is lost.
Pactinel and other tools
How is Pactinel different from a CLM suite?
CLM suites focus on drafting, negotiation and signature and take months to roll out. Pactinel starts after signature: it makes sure what you signed is followed, and it runs in a day.
Why not keep using a spreadsheet?
A spreadsheet does not read contracts, calculate notice dates, remind anyone or keep proof of what was done. It also depends on one person keeping it current. Pactinel does those things for every contract.
Does Pactinel give legal advice?
No. Pactinel is software, not a law firm. It shows what your contracts say and when to act; decisions on legal questions stay with you and your advisers.
Did not find your answer?
Write to us and a person from the team replies, usually within one working day. Our guides go deeper into renewals, notices and obligations.
